Project Coordinator - VIRS

Reporting to the Supervisor for Project Management, Vibration Isolation and Restraint Systems (VIRS), the Project Coordinator will manage a wide variety of projects requiring Vibration Isolation and Restraint Systems. This role provides support to local contractors, OEM Accounts, and Sale Representatives across North America and handles small post order management quotations, Stock Isolation projects, Seismic and Non-Seismic orders ranging from $100 to $100,000 only.

The successful candidate is required to drive a positive, cost-conscious, customer focused atmosphere in the VIRS team and increase productivity through synergy. The successful incumbent will have a keen eye for detail, effective time management skills, be customer service oriented and able to multitask.

Responsibilities:

  • Small Quotations to local Contractors, and OEM Accounts, as well as adds to existing projects.
  • Responsible for Order Entry and Proper file documentation to support the Contract.
  • Review the requirements of the project to ensure that all applicable information is received from the client. Contact client for additional information if required.
  • Track, document and consolidate all project information.
  • Responsible for the Project for the duration with continuous follow-ups to drive the project to its conclusion.
  • Communicate project, spec and installation requirements to the engineering team.
  • Seek out opportunities to add value and increase Vibro-Acoustics scope of supply on projects.
  • Coordinating and communicating project deliverables, submittal packages, product releases, and delivery schedules.
  • Manage contract terms and conditions to meet both client and company needs.
  • Manage and coordinate site visits, and sign off letters
  • Post Order Management (i.e. billing, invoicing, and project close outs)
  • Identify continuous improvement ideas and actions that support the team culture promoting cost consciousness and customer focus
  • Develop and cultivate relationships with key customers
  • Liaise with Manufacturing and Engineering to improve internal relationships and exceed customer’s expectations on product and submittal turnaround times.
  • Additional Responsibilities as needed to support the Project Management team.

Qualifications:

  • University or college degree
  • Minimum of 3 years’ HVAC industry experience
  • Minimum of 2 years’ project coordination experience
  • Knowledge on Buy/Re-sell representatives structure and needs, either from the Manufacturer or Representative side
  • Positive Attitude
  • Analytical and detail oriented
  • Excellent Oral and Written Communication Skills
  • Customer Service/ Technical Support experience
  • Project Coordination or Management Experience
